Purpose
DotActiv’s Premium Support service offers clients a comprehensive recruitment support process which is managed by the HR department and Premium Support Account Manager. The purpose of this article is to outline the process that clients can expect when utilising this service.
1. Receive Recruitment Request
The recruitment process begins when DotActiv receives a formal request from a client. This request typically comes through the client’s Premium Support Account Manager, outlining the need for a new hire. It’s the first step in ensuring that DotActiv understands the client’s hiring needs and expectations.
2. Determine Vacancy Details And Context
Once the recruitment request is received, DotActiv works closely with the client to gather all relevant details about the vacancy. This includes understanding the job role, necessary qualifications, and the context within which the new hire will operate. Understanding these specifics helps streamline the recruitment process and ensures the right candidates are targeted.
3. Provide The Client With Recruitment Advice
DotActiv offers expert advice to the client regarding the recruitment process. This could involve insights into current market trends, expected timeframes, or ideal candidate profiles for the industry. The goal is to provide the client with a solid foundation and clear direction for recruitment.
4. Determine If Recruitment Will Be Conducted By DotActiv
After providing advice, DotActiv and the client will determine if DotActiv will take charge of the recruitment or if external recruiters will be engaged. This decision depends on the complexity of the role, the client’s preferences, and the existing expertise within DotActiv’s team.
5. Hand Vacancy Over To HR
If DotActiv will be leading the recruitment process, the next step is to officially hand the vacancy over to the HR team. HR will take responsibility for managing the process, ensuring that all protocols are followed and that recruitment runs smoothly from start to finish.
6. Determine Local Laws For External Recruiters And Any Implications Thereof
If the recruitment is for a client outside of South Africa, DotActiv will need to ensure that all local legal requirements for the region the recruitment efforts are aimed at are followed. Understanding local laws, such as regulations around hiring practices, is essential to avoid any legal complications and ensure a compliant recruitment process.
7. Conduct Recruitment
DotActiv’s HR team will then conduct the actual recruitment. This involves advertising the position, sourcing candidates, screening applications, and conducting interviews. At this stage, DotActiv ensures that the most suitable candidates are shortlisted for the role.
8. Support Hiring Decision
Once a shortlist of candidates has been created, DotActiv provides ongoing support to help the client make their final hiring decision. This includes scheduling the final interviews with the client, creating calendar events, and sitting in on interviews if requested. DotActiv ensures that the client has everything they need to make an informed decision.
It is important to note that DotActiv’s role in this step is purely supportive and that the final decision is not influenced by DotActiv. The final decision remains the clients (independent) and they, therefore should accept the responsibility thereof. The client is responsible for drawing up the contract/ offer of employment and managing the process from there.
9. Receive Feedback On Offers Accepted
Once a candidate has been selected and an offer has been extended, DotActiv receives feedback from the client regarding the outcome. If the offer is accepted, DotActiv assists in facilitating the next steps.
10. If Successful, Send Candidate On Their Training Journey
For successful hires, DotActiv ensures that the new employee is guided onto their training journey. This may include onboarding processes that involve the Category Management process, training schedules, and other resources needed to integrate the new hire into their role effectively. DotActiv’s aim is to help clients secure the right talent and ensure a smooth transition into getting up to speed on the Category Management process.
