How To Use The ‘Batch’ Function In The DotActiv Software

In some instances, you may need to remove products or update fields for multiple planograms all at once. The DotActiv software has a function that allows you to do this for many planograms in one go. This article is a step by step to show how to use this function. 

Applicable Products: DotActiv Lite, DotActiv Pro, DotActiv Enterprise

Removing Products

Step 1: Open the DotActiv software. 

Step 2: Once you have the DotActiv software open, click ‘File‘ – ‘Batch‘ – ‘Remove Product‘. 

Step 3: After you have clicked on ‘Remove Products‘, the following tab will open.

In this tab, you will select which planograms you wish to remove the products from. To do this, you will click on ‘Add Files‘. You will then be able to navigate through your drive to select the desired planograms. 

Step 4: Once you have selected your planograms, you will then have the option to select an ‘Output Directory‘. This is where the planograms will be saved once the changes have been made. There is also the option to overwrite the existing planograms if you wish to. 

Step 5: Once you have chosen your ‘Output Directory‘, you will then need to select a field type and name. To do this, click on the drop-down menu next to the heading ‘Field Type‘ and then select ‘Data List Fields‘. 

Then click on the drop-down menu next to the heading ‘Field Name‘ and then select ‘Product Code‘. 

Step 6: After selecting the field type and name, you will then need to put in your field value(s). In this case, we are going to enter one. The field value will be the Product Code of the product you wish to remove from the gondolas in your selected planograms. To do this, you will click ‘Add‘, type your product code, and then click ‘Add‘ again to add the product code. 

Step 7: You will then need to choose what happens to your product(s). 

There are three options:

  • Move to a floating shelf;
  • Remove from the shelf (deletes product from the gondola); and
  • Remove from product report (deletes product completely).

In this instance, we have chosen to move the product to a floating shelf. 

You are also able to delete any 0 facings from the product report. 

Step 8: Once you have clicked ‘OK‘, a popup will appear asking if you are sure you would like to perform this action. Select ‘Yes‘ to continue. 

The Result: 

Once you have finished using the ‘Batch Removal‘ function, open the saved planogram. In this case, we chose to move the removed product to a floating shelf. The shelf will be highlighted in red for your convenience. 

Replacing Products

Step 1: Open the DotActiv software. 

Step 2: Once you have the DotActiv software open, click ‘File‘ – ‘Batch‘ – ‘Replace Products‘. 

Step 3: After you have clicked on ‘Replace Products‘, the following tab will open.

In this tab, you will select which planograms you wish to replace the products from. To do this, you will click on ‘Add Files‘. You will then be able to navigate through your drive to select the desired planograms. 

Step 4: Once you have selected your planograms, you will then have the option to select an ‘Output Directory‘. This is where the planograms will be saved once the changes have been made. 

Step 5: Once you have chosen your ‘Output Directory’, you will then need to select which field to filter and the current filter value. To do this, click on the drop-down menu next to the heading ‘Filter Field’ and then select your desired filter. In this case, we are going to use ‘Segment’. 

You will then have to enter the current filter value that we will be replacing. In this case, the current filter value is ‘DIAPER PANTS‘. 

Step 6: You will then need to set up your fields with your new information that will be replacing the old information. This is done by selecting the ‘Setup Fields‘ button. 

A new tab will appear where you can select the fields you wish to replace. 

Select the corresponding field and then click on the double arrow to add the field. Once you have done this, click ‘OK‘. 

Step 7: Double click on the area below the heading ‘Value‘ to add your new value. A new tab will appear where you can enter the new value. 

Once you have entered your new value, click ‘OK‘. 

Your updated value will now appear in the blank space. 

Step 8: After following the above steps and you are happy with the entered information, click ‘OK‘. 

Once you have clicked ‘OK‘, a pop-up will appear to confirm the changes made. Click ‘OK‘ to confirm. 

The Result: 

The fields chosen to update should now be replaced with the updated value. The planograms will be found in the Output Directory chosen. 

Updating Keys

Step 1: Open the DotActiv software. 

Step 2: Once you have the DotActiv software open, click ‘File‘ – ‘Batch‘ – ‘Update Keys‘.

Step 3: After you have clicked on ‘Update Keys‘, the following tab will open.

In this tab, you will select which planograms you wish to remove the products from. To do this, you will click on ‘Add Files‘. You will then be able to navigate through your drive to select the desired planograms. Once you have selected the planograms you wish to update, all the Key Values, ie: The Product Code will appear on the tab. 

Step 4: Once you have selected your planograms, you will then have the option to select an ‘Output Directory‘. This is where the planograms will be saved once the changes have been made.

Step 5: To update the Key Value, double click next to the value you would like to update. 

A pop-up will appear where you are able to enter the new value. 

Enter the new value and click ‘OK‘. 

Step 6: The new values will appear next to the old values, if you are happy with the information entered, click ‘OK‘. 

Once you have clicked ‘OK‘ a pop-up will appear to confirm the changes made, click ‘OK‘. 

The Result: 

The Key Values will now be updated on the planograms selected. The planograms will be found in the Output Directory chosen. 

Updating Planograms

Step 1: Open the DotActiv software.

Step 2: Once you have the DotActiv software open, click ‘File‘ – ‘Batch‘ – ‘Update Planograms‘.

Step 3: After you have clicked on ‘Update Planograms‘, the following tab will open.

In this tab, you will select which planograms you wish to perform a batch update on. To do this, you will click on ‘Add Files‘ or ‘Use Open Planograms‘. You will be able to navigate through your drive to select the desired planograms. 

In this case, we have chosen to use the planograms currently open. 

Step 4: You will then need to choose which values you wish to update. To do this, select the drop-down menu under the heading ‘Dimension‘. 

You can choose between Market, Fact, Product, or Period. Here we have chosen Market, Product, and Period to update. 

Next to the Dimension column, you will find the Section column. Click on the drop-down to select the appropriate value to update. 

Once you have chosen the desired selection, use the drop-down to select the Field Name you wish to update. 

Lastly, type in the new value you wish to update next to the corresponding Field Name. 

If you wish to update more than 3 field names, you can add a value by clicking on the ‘Add Value‘ button. 

Step 5: You will then need to choose whether to overwrite the existing planograms or whether to create updated planograms. In this case, we have chosen to overwrite the existing planograms. If you wish to create new planograms, click the circle next to ‘Directory‘ and then choose where you would like to save these planograms on your computer. 

Step 6: Once you are happy with your updated values, click ‘OK‘ to update. 

The Result:

A pop-up will appear informing you that the planograms have been updated. 

All selected planograms will now have the updated values.
